Terms and Conditions

Acceptance

Making a booking with Africa Wandering Peak Safaris (the Company) is taken as acceptance by the customer of these Terms and Conditions.


Booking Tours

a) Making a Booking

Booking a safari or tour is often an interactive process. After clients discover our services and express interest, there will be communication back and forth regarding the tour and recommended package. This ensures that you book the right tour for your needs.

Once the details are finalized and you’re ready to proceed, we will send payment instructions so you can make a deposit. Upon receipt, we will confirm the tour.

Clients will then receive registration forms to provide details such as inbound flight information and dietary restrictions. Our Registration Form allows certain requests to become part of the contract (e.g., dietary needs). We will do our best to accommodate these and inform you in advance if not possible.

Requests not listed in the Registration Form do not form part of the contract, regardless of other communication. Between booking and sending final documentation, Africa Wandering Peak Safaris reserves the right to decline supplying the trip.


b) Price Guarantee

Once your deposit is received, we guarantee the prices listed in your quotation, with the following exceptions:

  • Estimated price increases: If prices from suppliers are not yet available (e.g., bookings made a year in advance), we may include an estimated increase. Final amounts will be due before the tour and may include increases up to twice the estimated amount.
  • Government fees and taxes: Sudden changes to national park fees or taxes are the responsibility of the Client or their representative.
  • Fuel surcharges: Any applicable surcharges from suppliers will be passed on to the Client.
  • Major quotation errors: We reserve the right to correct undercharging errors and may withdraw the offer.
  • Exchange rate fluctuations: Clients may be responsible for surcharges resulting from significant currency fluctuations.

Payment Terms

Payments are scheduled as follows:

  • Camping safari bookings: 10% deposit required.
  • Lodge safari bookings: 40% deposit required.
  • Tailor-made bookings: 10%–70% deposit may be requested.
  • Final payments: Due upon arrival (cash preferred).

Payments can be made via bank transfer, credit card, or online payment platforms such as PesaPal. Our bank accounts are all based in Tanzania — we do not use offshore accounts.

Group payments can be split between members, but communication should go through the group leader, who is financially responsible for the entire trip.

All payments must be made before the start of the tour. Please send proof of payment (e.g., bank receipt) for confirmation.

Transaction fees (e.g., 3.5% surcharge for card payments, wire fees) are the client’s responsibility.


Currency

Quotes are in USD, Euros, or Tanzanian Shillings. Preferred cash payments are in USD, but Euros and GBP are also accepted.


Tour Element Modifications

a) By the Company

Prices are based on the assumption that bookings can proceed as quoted. While we strive to follow all itineraries, Africa Wandering Peak Safaris reserves the right to make necessary changes.

Unforeseen delays or alterations due to weather, civil unrest, flight issues, etc., may incur costs for accommodation, meals, or flights. Clients are responsible for these additional expenses. Insurance is strongly recommended.

In group tours with varying packages, minor itinerary adjustments may be made without affecting the time or quality of destinations.

If certain lodges or roads are unavailable due to natural disasters, obligations for payment are waived. However, small modifications that do not impact the contract may occur, including:

  • Replacing up to two lodges/hotels with similar quality alternatives.
  • Changing the order or number of lodge/hotel nights.
  • Shifting transport providers.

Price decreases will be passed to the client. For price increases, we will either seek approval or absorb the difference.

Clients are responsible for checking quotation paperwork carefully. Errors or omissions that could not reasonably be detected by the client will be handled by us or result in order withdrawal.

b) By the Client

Changes after payment may incur amendment fees. These charges reflect the administrative time required. Cancellations of elements will follow standard cancellation policies.

Additions to bookings generally do not incur extra charges.


Cancellation

a) By the Client

  • Less than 10 days before tour: No refund.
  • More than 10 days before tour: Refund available, subject to lodging policies and minus transaction fees.
  • No refunds for cancelled individual tours. Exchanges may be allowed.
  • Credit notes may be offered for bookings in shoulder seasons.

We strongly recommend travel insurance for cancellations and airline protection.

b) By the Company

If a supplier fails or a service cannot be delivered (e.g., mobile camps restricted by park regulations), we will attempt to provide equal alternatives. If not possible, we’ll seek your approval for significant changes.

In rare circumstances (terrorism, disasters, political instability), Africa Wandering Peak Safaris may cancel a tour. Refunds of land payments release us from further liability.

We are not responsible for incidental expenses (e.g., visas, non-refundable flights).


Insurance

Travel and medical insurance is highly recommended. Coverage should include trip cancellation, medical costs, evacuation, repatriation, loss/theft of belongings, and death.

Africa Wandering Peak Safaris is not legally liable if clients do not obtain insurance. High-risk activities (mountain climbing, diving, etc.) are undertaken at the client’s risk. Check that your policy covers such activities.

Ensure your insurance is in place from booking through the entire travel period.


Tour Suitability and Behaviour

We reserve the right to terminate the participation of any customer whose behavior causes distress, danger, or is illegal.

Tours can be physically demanding. Clients must disclose health and mobility limitations at the time of booking and inform us of any changes before the trip begins.

We may also remove clients unable to cope with trip demands. In these cases, cancellation fees apply, and we are not liable for refunds.


Problems During a Trip

Clients must notify us or the guide immediately if problems arise, so we can address them promptly.

We may not honor complaints raised only after the trip, particularly if no opportunity was given to resolve issues during the experience.

Photographic evidence and supplier concessions help us resolve post-trip issues efficiently.


Liabilities and Limitations

Neither Africa Wandering Peak Safaris nor its agents are liable for losses, injuries, delays, or other issues caused by third parties, wild animals, political events, weather, etc.

We do not accept liability for third-party acts (hotels, carriers, operators, etc.). Clients must exercise caution and be “streetwise” in public spaces.

We are not responsible for services outside of our contract (e.g., services arranged directly with hotels).

All services will be evaluated based on Tanzanian law and standards. If compliant locally, they are considered valid even if they differ from international standards.
